In order to proceed with your group registration, please log in / create a profile here.

Once logged in, please click on the tab “Registration” and then “Group Registration”. The first step is to select the number of required registration tickets in each registration category. You will receive a confirmation/invoice by email.

Payment can either be made by credit card (Visa, MasterCard, or Amex) or bank transfer. A different invoice address can be added separately. Please indicate the correct invoice address when registering your group.

Individual participant data can be entered under “add participants”(until 4th August 2024 the latest). You can either add participants individually or upload a list with the required information.

To upload a list of names, please click on “import” and “get template” and then fill in the Excel file template – all columns marked with an asterisk are mandatory. You can then “upload” it to import the data.

To register your delegates, the following data are required for every participant:

• Email address (please use a valid, individual email address for each person)
• Personal information (First and last name, date of birth)
• Address (City, Street, Country)
• Company / Institution name
• Proof of status when required by the registration category (e.g. Nurses, Technicians and Radiographers, Students, etc.)

Once the entry of participant data is completed, the registration tickets need to be allocated to the participants (click on “Distribution” to allocate the tickets).

You are able to send registration confirmations to your guests via your group account: click on “group registration” and “registration confirmations”. The registration team will not send confirmations to your guests – this is your responsibility.

All fees for congress registration should be paid in Euro (€) in advance to the ESMINT Congress Secretariat, clearly stating the participant’s name and address.

Bank charges are the responsibility of the payer and should be paid in addition to the registration fees.

Badge scan

Participants are not obliged to allow exhibitors to scan their badge in the exhibition area or when entering an industry symposia. Participants must show their badge for prove of access rights, but do not need to allow a company to scan it. With allowing a company to scan, you acknowledge that your registration details will be forwarded to the exhibitor.

Photographs

During the congress photographs will be taken. This serves the purpose of publication on the website and/or on social media platforms of the organiser. It may hereby be possible that persons onsite are also photographed in a way that they can be identified. The legal basis for photographing is Article 6, Paragraph 1, lit. f GDPR, the organiser’s legitimate interest is to publicly document the event.
This is explicitly stated at each event. If required, you can obtain information at the registration helpdesk of the event if you do not wish that photographs on which you are identifiable will be published.

The Visa letter

Registered participants can request a visa invitation letter in their congress account under the tab “visa letter”. The document can be personalised with passport details (passport number, expiry date, date of birth and nationality) and will be sent by email once registration and full payment have been received.

We recommend starting the visa application process as early as possible. Please note that the visa application is the sole responsibility of the participant; ESMINT Congress 2024 has no influence on the process and its conditions. A refund of registration fees due to visa denial is not possible.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organizers should the holding of the congress be hindered or prevented by unexpected political or economic events or generally by “force majeure”, or should the non-appearance of speakers or other reasons necessitate programme changes. With his/her registration, the participant accepts this proviso.
